Ask to bring a support person to a meeting

Redundancy and your employer

Use it when

You have been invited to a restructure, disciplinary or termination meeting and want someone with you.

Fill in the [brackets]

Subject: Support person for meeting on [date]

Hi [Name], Thank you for the invitation to the meeting on [date] at [time]. I would like [name / my union delegate [name] / a family member] to attend with me as my support person. [They may take notes / speak on my behalf / simply provide support.] Please confirm that this is fine. If it is not, please tell me why in writing. I would also like the meeting agenda and any papers beforehand, and for the meeting to be rescheduled if my support person cannot attend on that day. Kind regards, [Your name]

Tips

  • In a restructuring or disciplinary process you can generally have a representative or support person. An employer must give you a reasonable opportunity to seek advice and have a support person before a decision.
  • A lawyer or union organiser can attend too, but a friend or whānau member is often as helpful: they take notes and keep you calm.
  • Ask for the meeting purpose in writing: 'Is this a consultation meeting or a decision meeting?'
  • You can stop and ask for a break. You never have to sign anything in the meeting.
  • Afterwards, send a recap email so the record shows what was said.
