Subject: Feedback on the proposed changes - [Your name], [Role]
Hi [Name], Thank you for the proposal dated [date] and for the opportunity to give feedback. I understand no decision has been made. My feedback is below. 1. The business case - I would like to understand [the figures / workload / reason] behind the proposal. In particular: [question, e.g. 'how was the demand for my role forecast?']. 2. Alternatives I would like considered - [Reduced hours or a temporary change in hours for the team] - [Voluntary redundancy or early retirement from others before compulsory redundancy] - [Redeploying me to / retraining me for [role / team]] - [Cutting other costs first, e.g. contractors or discretionary spend] 3. My role and the proposed structure - My role covers [key duties, systems, clients, qualifications]. The proposal says [X], but I also do [Y], which appears to continue in the new structure as [role]. - I believe my skills and experience are a good fit for [new role name], and I would like to be considered for it. 4. Selection (if applicable) - Please confirm the criteria, weightings and who will score. I would like to see my scores and the evidence for them before any decision is made. 5. Process - I would like a further meeting to discuss this feedback, with [support person] present. - Please confirm in writing how my feedback was considered before the decision is made. I want to work with you to find the best outcome for the business and for me. Kind regards, [Your name]
Tips
- Be specific. 'This is unfair' is easy to dismiss; 'the proposal counts 4 admin roles but my team handles 3,200 enquiries a month' is not.
- Stay professional. Your feedback may be read out in the Employment Relations Authority later, so write it as if a stranger will read it.
- Always put forward at least one alternative and ask to be considered for any new or similar roles. Employers must genuinely consider these.
- Ask for a written response to your feedback. A decision made without genuinely considering feedback can be unjustified.
- Check your deadline. If you need longer, use the 'ask for an extension' template.
- Keep a copy of everything you send (sent-email folder, a screenshot or a photocopy) and save replies in one folder named with the date.
